Contract & Accounts Administrator

Role and Opportunity

As a Contract & Accounts Administrator, you will be essential in supporting our client’s administrative and finance tasks to ensure smooth operations and client satisfaction:

  • You won’t ‘just’ be processing documents; you’ll contribute to the success and well-being of clients navigating their migration journey.

Purpose

As Contract & Accounts Administrator in a work-from-home setup, you will:

  • Drive efficiency by managing contracts (agreements) and assisting in some finance-related (invoicing, accounts payable, payroll) and onboarding tasks.
  • Have the confidence to professionally interact with clients of varied nationalities.
  • Provide high-level administrative support to the team, mostly via email, but includes phone calls, as needed.

Your daily tasks include:

  • Creating, sending, and chasing (follow-up) engagement agreements (using QWILR).
  • Generating deposit requests and invoicing clients (using Migration Manager).
  • Managing deposit and invoice payments, including receipting.
  • Providing payroll (data entry) and accounts payable support (using Xero).
  • Monitoring work progress reports to keep tasks on schedule, ensuring deadlines are met.
  • Managing email (MS Outlook), handling occasional calls (softphone), and onboarding tasks effectively.
  • Collaborating (via MS Teams) and contributing to the team effort by performing other admin tasks as the client or management requested.

Minimum Qualification

  • At least 2 years of administrative support experience that includes accounting tasks
  • Outstanding call-handling skills (customer service using softphone) in a global setting
  • Demonstrated ability to manage multiple tasks and prioritize effectively
  • Working knowledge in any accounting software, like Xero
  • Proficient in using MS Outlook, MS Teams, having a background in using QWILR and a softphone software is a PLUS

  • Excellent in written and spoken English
  • Confident communicator, comfortable dealing with diverse backgrounds
  • Strong proficiency in basic calculations (comfortable with numbers)
  • Technologically adept, quick learners of new programs and systems
  • Strong time management skills, organizing tasks efficiently, meeting deadlines, and managing several priorities easily
  • A team player who can deliver effectively even under pressure and with minimal supervision.
