Recruiter (For Pooling)

Clear is looking for a Recruiter to work with our client, an Australia-based company offering occupational health services, in a remote work setup. Our client, a known pre-employment medical specialist, delivers efficient assessments, quick results and convenient access across Australia.

Role and Opportunity

Your new role is to provide end-to-end recruitment support by sourcing, screening, and managing a strong pipeline of candidates for our client’s recurring clinical and administrative positions, ensuring the right people are always ready to be placed when the business needs them.

Purpose

As a remote Recruiter, you will:

  • Source, screen, and manage a high-quality pipeline of candidates for our client’s recurring clinic roles by running end-to-end recruitment support activities that keep their clinics staffed, compliant and ready to deliver exceptional service.

Your daily tasks may include:

  • Job Advertising and Candidate Sourcing

    • Write, post, and manage job advertisements for nursing, allied health, and clinic administration roles across relevant job advertising platforms, ensuring listings are accurate, tailored to each role type, and actively driving quality applications

    • Monitor and action incoming applications daily, acknowledging all candidates promptly and moving qualified applicants through to the next stage in accordance with the client's procedures

    • Conduct proactive database searches to identify suitable candidates from existing records and match them against current role requirements for both recurring and newly opened positions

    • Float strong and available candidates to the consulting team and hiring managers ahead of demand, particularly for high-turnover clinic roles where pipeline continuity is critical

    • Stay current on market trends, competitor activity, candidate pay rates, and supply conditions in the occupational health and allied health talent markets, and communicate relevant updates to the team

  • Screening and Interviewing

    • Conduct initial telephone screenings of applicants to assess clinical qualifications,  availability, and suitability for specific clinic roles across the client's network

    • Schedule and facilitate virtual interviews with shortlisted candidates, ensuring the experience is professional, welcoming, and reflective of the client's values as an employer

    • Prepare a concise candidate summary following each interview, capturing key details including qualifications, experience, availability, and role fit for use by the hiring manager

    • Conduct thorough reference checks to verify candidates' professional conduct, clinical competence, and work history, and document all findings accurately in the database

  • Candidate Onboarding and Compliance

    • Onboard successful candidates through the client's CRM by sending required e-documents and following up on any outstanding items until each candidate's file is fully complete before their first day

    • Coordinate the collection and verification of all pre-employment requirements relevant to clinic roles, including AHPRA registration, police checks, working with children checks, first aid certifications, and any role-specific compliance documents

    • Liaise with payroll to confirm all candidate details are entered correctly, and any information required to complete the placement is resolved without delay

    • Maintain data entry accuracy across all candidate records, availability listings, and interaction notes in the database, updating files consistently after every contact

    • Monitor the compliance status of active candidates and flag any expiring registrations, pending documents, or incomplete files to the relevant consultant before they create a risk to service delivery

  • Candidate Pool and Recruitment Administration

    • Maintain and update the availability listing of all active candidates on a regular basis so the team always has a current and accurate view of who is ready to place across the client's clinic network

    • Place confirmed candidates into client rosters and role vacancies on the database as directed, ensuring all shift details, location requirements, and candidate information are recorded accurately

    • Manage the active pool of temporary and casual clinic staff by tracking their availability, preferences, and any changes in circumstances that may affect their readiness for placement

    • Handle overflow calls and messages from candidates and internal stakeholders, responding professionally and escalating any complex queries to the appropriate team member

    • Contribute actively to identifying and implementing improvements to the recruitment and candidate management process that increase speed, accuracy, and quality of placements

    • Perform other admin tasks as required by the client or management

Required Attributes

  • You have strong written and verbal English communication skills and can engage confidently and professionally with clinical candidates, hiring managers, and internal stakeholders across a fast-moving occupational health environment.

  • You are highly organised and process-driven, with the ability to manage multiple candidate pipelines, compliance requirements, and role briefs simultaneously without losing accuracy or momentum.

  • You take full ownership of your workload, following through on tasks from first contact through to file completion and placement without needing to be prompted.

  • You are proactive and think ahead, whether that means keeping the candidate pipeline warm before a clinic vacancy opens or chasing a compliance document before it causes a delay.

  • You have excellent interpersonal skills and can build genuine rapport with candidates from nursing, allied health, and administration backgrounds, making them feel respected and well-supported throughout the process.

  • You bring a high level of professionalism, reliability, and attention to detail to everything you do, understanding that in a clinical staffing environment, accuracy and speed directly affect service delivery to the client's customers.

Essential Experience 

  • A minimum of 3 years of hands-on experience in a recruitment, resourcing, or talent acquisition role, with a demonstrated track record of managing high-volume candidate pipelines end-to-end

  • At least 1 year of experience in an international or global recruitment context, with a strong understanding of cross-border candidate management and compliance requirements

  • Proven ability to source, screen, and place candidates across specialised or regulated roles, with confidence in assessing qualifications, registrations and role fit

  • Experience working within a CRM or applicant tracking system and maintaining rigorous data entry and file management standards across a live candidate database

  • Proficient with Microsoft 365 applications, particularly Outlook, Word, Excel and Teams

Advantageous (Optional Qualifications)

  • Experience recruiting across healthcare or allied health disciplines

  • Experience supporting Australian-based clients in a recruitment capacity, including from an offshore or BPO environment

  • Has a clear neutral accent
