Bookkeeper-Admin
Clear is looking for a Bookkeeper-Admin to join our specialist team of bookkeepers working for Australian clients from a range of industries.
Role and Opportunity
Your new role is to provide outstanding bookkeeping and admin services to help our clients manage their financial affairs.
Purpose
As a Bookkeeper-Admin, you will:
- Record financial transactions through our client’s bookkeeping & cloud-based systems
- Assist in processing financial documents as needed by the Director.
- Provide administrative assistance for office organisation and presentations/proposals
As a Bookkeeper-Admin, your daily tasks may include:
- Record financial transactions and complete the posting process to Xero and other cloud-based systems, including but not limited to
- Entering approved Direct Costs and Commitments into Procore (construction management system) for reconciliation in Xero
- Entering non-job-related invoices/bills (utilities, staff amenities, Director’s expenses) into Xero for account reconciliation
- Reconcile bank and credit card transactions, general ledger accounts, superannuation, payroll accounts, and other key accounts to be determined
- Review account codes and re-coding of transactions
- Manage accounts payable and accounts receivable
- Process purchase and sales invoices
- Verify that invoices and transactions comply with the approved Purchase Orders
- Encode and post journal entries for accounts payable and accounts receivable
- Process authorized payment to the supplier’s invoices in an accurate and timely manner
- Maintain and update client and supplier databases
- Once approved, process expense claims and reimbursements through a cloud-based system like Xero, as applicable
- Contact the team immediately to chase for missing receipts/invoices
- Submit weekly reports on any outstanding items or queries
- Process payroll, including payroll file payment and bank uploads
- Maintain and update company records
- Submit timely administrative and financial reports, and prepare presentations/proposals as assigned
- Assist with the month-end accounting process, including Payroll and Accounts Payable journals
- Provide clerical and administrative support to the bookkeeper and management
- Contribute to team effort by accomplishing other tasks as requested by the client and/or management.
Required Attributes
- Good English communication skills (both verbal and written)
- Proactive mindset, can work independently but collaborates well with a team
- High degree of accuracy and attention to detail
- Technologically adept and can quickly learn new systems or software
- Flexibility to perform relevant admin tasks as required by clients.
Essential Experience
- Experience with Xero, MYOB, QuickBooks, or similar accounting software
- At least 2 years of handling Australian accounts
- At least 3 years of experience in an accounting role
- High degree of English proficiency (verbal and written)
- Knowledge of generally accepted accounting/bookkeeping principles and procedures
Advantageous (Optional)
- Knowledge of Procore or similar construction management system
- Background in the construction or building industry
