Personal Assistant | For Pooling
Clear is looking for a highly reliable, independent Personal Assistant.
Role and Opportunity
Your new role is to pivotal to the practice’s future success. The Personal Assistant will provide our client with a broad range of administrative support tasks. The client needs support that will allow them to focus on the growth and development of their practice and free them up from tasks and routine obligations that are currently taking away from that focus.
It’s a role for a Personal Assistant with a ‘yes’ approach to life. The role suits people who can switch between different types of tasks and respond to the changing requirements of a given day. Trust is imperative for the client: they need to be able to trust the PA to take on this role and to provide them with the support they need – to bring solutions and ideas, to show initiative, and make suggestions.
Purpose
As a Personal Assistant, you will:
- Provide general administrative support to the client
- Provide administrative and back-office functions in support of the day-to-day operations of the practice
As a Personal Assistant, your daily tasks may include:
- Manage, assist and organise the client’s email
- Filter and prioritise important emails, flagging those that require action.
- Provide regular updates to the client on urgent or important matters that need attention.
- Assist in scheduling appointments, meetings, and managing the client’s calendar.
- Perform admin tasks such as reports, documentations, and updating of office records
- Provide support and assistance to the client’s onsite team with back-office work as required
- Contribute to team’s effort and perform other duties as requested by the client or assigned by the management
Required Attributes
- You are organised, highly detail-oriented and take pride in maintaining accuracy across large volumes of documentation
- You are not afraid to flag risks, ask questions, and follow up to ensure processes are followed to the letter.
- You are proactive, tech-savvy and quick to learn new systems and platforms.
- You work with integrity and uphold confidentiality when dealing with information
- You communicate clearly and professionally with both internal teams and international stakeholders.
- You are comfortable working independently in a remote setup but thrive in team-based collaboration.
- You are driven by process efficiency and ensure that every step, file, and milestone is completed to standard.
- You have excellent time management and consistently meet strict deadlines without compromising quality.
- You show initiative and flexibility in supporting the the client.
Essential Experience
- At least 2 years’ experience in supporting business executives or owners in an admin or executive assistant capacity
- Highly proficient in Microsoft applications (Word, Outlook, Excel, PowerPoint, Teams)
- Confident written and verbal communication in English
Advantageous (Optional)
- Experience in handling Australian accounts
- Has a clear neutral accent
